Welcome to Charlie Mike!

Privacy Policy

Version 1.1 · Last Updated: July 2026

Effective immediately or upon release of the app by Apple to the public, whichever occurs later.

Our Privacy Commitment

We are committed to protecting your personal information. Charlie Mike securely stores your data using Google Firebase, employs industry-standard encryption, and never sells your information.

What We Collect and Why

1 · Your Tasks, Notes & Profile

The tasks, notes, categories, due dates, and profile details you enter into the app.

Used only to organize your day, calculate due buckets and streaks, generate your morning report, and sync your data across your devices.

No banking, card, or account-number information is stored.

Purchases. All payment processing for Charlie Mike — including your credit card, billing address, and Apple ID — is handled by Apple through the App Store. We never see, receive, or store your payment information. Charlie Mike is sold as a one-time purchase (Basic or Premium), not a subscription; your purchase is verified directly between your device and Apple's servers using StoreKit. You can review Apple's privacy practices at https://www.apple.com/legal/privacy/.

2 · Location (for Weather & Local News)

Charlie Mike requests when-in-use location only when you tap “Use current location,” and only to determine your ZIP code. It never tracks you continuously.

The precise coordinate is used transiently and immediately discarded — it is never stored on our servers. Only the resulting 5-digit ZIP code (which is coarse, roughly city-level) is saved to your profile and synced to your account. You can also simply type your ZIP instead; the location button is a convenience, not a requirement.

Your ZIP code, or a coarse coordinate derived from it, is sent to our weather and geocoding providers (see Section 10) over encrypted connections to return local weather and news. Your device's exact GPS position is never sent to those providers.

3 · Calendar

Charlie Mike can optionally import events from your device calendar so they appear alongside your tasks. This happens only when you open Import from Calendar and choose a date range and which calendars to pull from — it is never automatic.

Calendar access is read-only: we read events solely to display them for import and never create, modify, or delete anything in your calendar. Permission is requested only the first time you use this feature, and you can revoke it at any time in Settings › Privacy & Security › Calendars.

Events you choose to import are saved to your account as tasks — the event's title, date and time, and any notes — and sync across your devices like your other tasks (see Section 1). Events you don't import are not stored, and we never share your calendar data.

4 · Identifiers

A randomly generated Firebase User ID and an anonymous Device ID.

Each record stored in Firestore is linked to your unique Firebase User ID to ensure that only you can access your own data.

These identifiers are used solely for authentication, syncing, and data protection — never for marketing, profiling, or advertising.

5 · Contact Information

Email address and name (if entered).

Used for authentication, purchase management, and customer support, and for occasional communications such as feedback requests or important product updates.

Your name may also be used within the app to personalize your dashboard and your daily report.

This information is never sold, shared, or used for marketing or advertising purposes.

6 · How We Protect Your Data

  • Encryption in Transit — All communication uses HTTPS (TLS 1.2+)

  • Encryption at Rest — Firebase encrypts data with AES-256

  • Authentication — Secure sign-in via Firebase Auth, including Sign in with Apple and Google; passwords are never visible to us

  • Access Controls — Only you can view your own records

7 · How We Use Your Data

  • Provide core features such as tasks, notes, syncing, and your daily report

  • Process your one-time purchase through Apple's StoreKit

  • Maintain anonymized logs for error detection and performance analytics

We do not use your data for advertising, profiling, or resale.

8 · Data Access and Administrative Visibility

Your tasks, notes, and profile are securely stored in Google Firebase. While these records are private to your account inside the app, authorized administrators of Charlie Mike Studios (the operator of Charlie Mike) can technically access stored data through the Firebase Console.

Administrative access is used only when necessary to:

  • Provide direct support at your request

  • Diagnose and fix technical problems

  • Investigate suspected abuse, fraud, or security issues

  • Comply with valid legal requests or obligations

We do not routinely review or analyze individual user data, and we never sell, share, or use this content for marketing or advertising. Console access is restricted to a minimal number of authorized personnel, protected by multi-factor authentication, and governed by strict internal confidentiality controls.

9 · Data Retention

  • Active accounts: kept while your account remains active

  • Deleted accounts: all personal data is permanently erased

  • Minimal pseudonymized compliance records (hashed ID + timestamp + policy version) are retained for legal confirmation only

10 · Third-Party Services & Data Sources

We rely on:

  • Firebase (Google Cloud) — authentication, storage, and sync

  • Firebase Analytics (Google) — anonymized usage and screen-view analytics; never used for advertising or profiling

  • Apple (StoreKit) — one-time purchases

  • Apple WeatherKit — weather forecasts (receives a coordinate derived from your ZIP code)

  • Open-Meteo and Zippopotam.us — fallback weather and ZIP-to-coordinate geocoding (receive your ZIP-level coordinate over HTTPS; requests are not cached)

  • Yahoo Finance — market quotes shown in your daily report (public market-data requests)

  • Google News — headlines shown in your daily report (public news requests)

  • Google Gemini, via Firebase AI Logic — powers the optional “Charlie” AI coach when you choose to use it (see Section 11)

These services follow their own published privacy policies and industry certifications. Weather data is provided by Apple Weather; its required attribution and other data sources are shown in the app under About & Contact. No other third parties receive or process your personal data.

11 · AI Coach “Charlie” (Optional, Premium)

Charlie Mike includes an optional AI coach named “Charlie,” available in the Premium version. It is active only when you use the coaching and daily-report features.

When Charlie generates a nudge, summary, or daily report, the relevant text — such as your task titles and the counts and figures needed to describe your day — is sent to Google's Gemini model through Firebase AI Logic (Google Cloud) to generate a written response.

Because our use of Google's Gemini API is billing-enabled, Google processes this content only to generate that response; under Google's terms for paid use, this content is not used to train or improve Google's models and is retained only briefly for abuse detection.

Charlie Mike itself does not store Charlie's prompts or responses on our servers.

Charlie Mike Studios does not use these interactions for marketing, profiling, or advertising. Charlie's output is AI-generated and provided for organizational and motivational purposes only; it is not financial, investment, legal, or medical advice. Please avoid entering information you would not want processed by Google.

12 · Your Rights & Choices

  • Access and edit your data anytime in the app

  • Delete your account and all associated data

  • Contact support for questions or assistance

13 · Transparency Promise

Your information is used only to operate and improve Charlie Mike. We will promptly notify users of any material policy changes.
